How Thalamus Supports NRMP Match Policy (Section 6.3.1)

I am writing today on behalf of Thalamus, regarding an email sent August 7, 2025, by the National Resident Matching Program® (NRMP®) with the subject line: Documentation of Complete, Timely, and Accurate Information to Applicants.
This message was sent to Program Coordinators, Program Directors, and DIOs, and expressed NRMP concerns regarding an “Application/interview software platform that may not track whether applicants have been provided required documents and apparently restricts the program’s access to its documents after the Match has concluded.”
This message is to clarify that Thalamus is not affected by the issues raised by the NRMP and abides by Match Policy. This includes our integration with the AAMC (Association of American Medical Colleges) and/or the Electronic Residency Application Service® (ERAS®) Program Director’s WorkStation (PDWS).
To confirm, the Thalamus Platform provides:
- Secure, reliable upload of institutional and program documents (e.g., eligibility requirements, employment/training agreements).
- Tracking capabilities of whether documents have been shared with applicants.
- Uninterrupted program access to documents before, during, and after the Match.
- Archive Mode for year-round retrieval of logs, documentation, and audit trails across recruitment, including from prior recruitment seasons.
- Industry-leading support to assist programs in managing this process and/or retrieving data and information.
As a public benefit corporation (PBC), Thalamus is committed to ensuring greater access to affordable, high-quality medical education and training, addressing systemic inequities in the physician workforce, and delivering better health care outcomes for patients and society. This includes robust and dependable data storage, security and audit processes in our industry-leading software, now in use by 8000+ residency and fellowship programs at 800+ institutions nationally. Thalamus was founded by physicians, including a program director, former associate DIO and Vice Chair of Education, with our current team possessing over 200 years of collective GME experience as program administrators and coordinators.

To ensure proper adoption or access archived data for internal or NRMP inquiries, contact the Thalamus Customer Experience Team at customercare@thalamusgme.com.
Please note that while we are always here to help our programs and institutions in demonstrating compliance with Match policies, we do not share customer data in response to requests by the NRMP without the customer’s express permission.
As the most widely used and comprehensive interview management platform in GME, our goal is to ensure that our system streamlines program and institutional workflows, while promoting compliance, audit capabilities, and reporting when necessary. We also fully support timely sharing of documents and other information with applicants throughout the recruitment process via Thalamus or other means.
We appreciate the NRMP’s reminder and commend the community for focusing on best practices. Thank you to the many programs that reached out for reassurance — we’re proud, honored, and privileged to support you in another successful recruitment season.
Best,
Jason
